The Garry Hurvitz Centre for Community Mental Health at SickKids (CCMH at SickKids) is a child and youth mental health centre integrated with The Hospital for Sick Children (SickKids). CCMH at SickKids is a key member of the Toronto Infant Child and Youth Core Service Providers sector and brings a unique value proposition to the sector through its integration with SickKids Hospital. Driven by donor generosity, CCMH also offers a growing program of research and several clinical service innovations.  CCMH at SickKids is  located across two sites in Toronto and offers both in-person and virtual care to clients and their families, from prevention and early intervention through assessment, counselling and therapy and intensive services. We are also connected to the continuum of mental health services for children and youth supported by SickKids: the Brain and Mental Health Program, the SickKids TeleLink Mental Health Program, the SickKids CCMH Learning Institute and our online resources through AboutKidsHealth. Find out more about CCMH at SickKids.

 

We are seeking internal applicants to fill a full-time regular position as Admin Coordinator with our Senior Leadership department. The successful incumbent will provide superior administrative support to the Clinical Director, Client and Participant Services, and coverage support to other senior leadership, including the Director Quality, Risk, Analytics and Information Services, Director Corporate Services, Medical Director, and Advance Practice Lead for Psychology and Interprofessional Practice.

 

KEY RESPONSIBILITIES

Administrative Support Services

  • Supports financial planning and control in relation to Foundation accounts including expense monitoring, quarterly recovery process and financial reporting.
  • Responsible for managing schedules of senior leaders Provides minutes and other administrative support to leadership team meetings including, Clinical Operations Team, and Practice and Education Team and coverage where needed for Senior Leadership Team meeting, Joint Clinical Operations Team meeting and Medical Staff meeting
  • Collaborates with external and internal stakeholders to maintain systems and processes, and to support the business’ projects and initiatives
  • Coordination of internal communication, including regular updates to staff, preparing organizational charts, offsite logistics as needed
  • Coordinates meetings, preparing agendas, booking meeting rooms, arranging hospitality services, expense reporting, preparing correspondence, taking minutes
  • Maintains supplies and resource inventories for the assigned department ordering items in accordance with policies, procedures and budgets
  • Maintains up-to-date knowledge of best practices related to administrative and technological developments
  • Makes decisions within instruction and/or guidelines and refers questions to manager

 

Other

  • Complies with the organization’s vision, policies and procedures
  • Performs other tasks as assigned by management

 

Qualifications

  • Post-secondary Diploma in Business/Medical Administration and a minimum of 5 years’ related experience or equivalent combination of education and experience
  • Possesses a high level of judgment, professionalism, tact, and diplomacy in interacting with a wide variety of internal and external partners
  • Ability to work independently with a high degree of initiative, discretion, and tact; ability and willingness to work cooperatively in a team environment
  • Ability to problem solve and deal effectively with multiple priorities while maintaining a high degree of quality and accuracy, as well as manage confidential and sensitive material
  • Highly proactive, persuasive, with strong interpersonal and negotiation skills
  • Proficiency in gathering and collecting data
  • Advanced knowledge of Microsoft Office Applications (Excel; PowerPoint; Teams; Word; Access, Acrobat)
  • Strong financial management and accounting experience
  • Excellent oral and written communication skills
